CMMS for food and beverage: hygiene, cold chain, traceability

Food and beverage is a demanding sector for maintenance: fast production lines where every stop wastes output, a cold chain that leaves no room for error, strict hygiene rules, and audits that demand evidence. Running all of that on spreadsheets and paper binders quickly shows its limits. A CMMS (computerised maintenance management software) brings the structure and traceability the sector needs. Here is how.

A context that tolerates no improvisation

A food plant packs together varied, critical equipment: chillers and cold rooms, conveyors, fillers and packers, autoclaves, compressors, clean-in-place (CIP) systems. Unplanned downtime doesn’t just cost production hours; it can break the cold chain, spoil raw material, and trigger non-conformities. Maintenance is not a side cost centre, it is a condition of food quality and safety.

Build reliability with preventive maintenance

On equipment you cannot afford to stop mid-run, reactive repair alone isn’t enough. A CMMS schedules preventive maintenance two ways: by calendar (regular intervals) and by meter (running hours, cycles, quantities produced). Each asset gets its plan, its procedures, and automatic work order triggers. You anticipate chiller and compressor overhauls instead of enduring them on a Friday night.

Documenting hygiene and compliance

This is where a CMMS truly earns its place in food and beverage. Digital procedures turn your cleaning and inspection routines into reusable checklists: checkboxes, readings (temperature, pressure), noted control points, photos, signatures. When an auditor asks for proof that a maintenance or cleaning task was done, you retrieve it, time-stamped and signed, instead of digging through a binder. Regulatory maintenance is tracked separately from routine preventive work, which makes demonstrating compliance easier (HACCP approach, mandatory inspections).

The field, mobile and cold

Technicians work at the line, in chilled zones, rarely at a desk. The mobile app puts maintenance in their pocket: scan an asset’s QR code to open its record, run the procedure, take a photo, log time spent. Assets and QR codes make every machine identifiable from a single scan, with its history and linked parts.

Steer with reliable numbers

Aggregated, work orders feed your indicators: preventive ratio, on-time completion, backlog, cost per asset, mean time to repair. You spot the machines that weigh on production and justify investment to management with facts rather than gut feeling. Parts and inventory management keeps a missing part from idling a line mid-run.

Where to start

There’s no need to model everything at once. Begin with your most critical equipment (cold, filling) and your mandatory hygiene checks, then expand gradually. History builds up job after job and becomes your best evidence at the next audit.
