Maintenance requests

Capture and triage maintenance requests before turning them into work orders.

Maintenance requests

What it is for

The Requests module is the entry point for maintenance needs. It lets a requester report a problem and a manager triage those reports before turning them into planned work. It is the filter between “someone spotted something” and “a job is officially started”.

Key concepts

Step by step

  1. 01

    Create a request

The requester enters a title and a description of the problem, then attaches the affected asset and location and picks a priority. The request can be created on the web or on mobile, straight from the field.

  2. 02

    Review and prioritize

The request arrives with a Pending status. The manager reads it, checks the reported asset and location, and assesses the priority to decide what happens next.

  3. 03

    Approve or reject

The manager approves the request when the intervention is justified. If they reject it, they must enter a reason, so the requester understands why it was not taken forward.

  4. 04

    Convert into a work order

Approving converts the request into a work order in a single operation. The title, description, asset, location and priority are copied into the new work order, which stays linked to the original request.

  5. 05

    Track the request

Once converted, the request is frozen and no longer changes. It keeps the link to the work order it created, so you can always trace a job back to the report it came from.
